Transcript and summary in the customer record

After every conversation the assistant files a transcript and a short summary in the customer record: who called, what they wanted, which appointment was booked or which callback was promised. Callbacks and the dialling assistant

Callbacks are cases, not sticky notes. The assistant records the request and preferred time in the record; you set a follow-up for the responsible person, or a rule-based workflow does it automatically. By rule, the AI can also make the callback itself, for example to confirm an appointment. For the rest, the customer record acts as a dialling assistant: one click starts the call and the call note is filed in the same place.

Data protection and transparency towards callers

Five measures keep it compliant:

  1. Announce it up front. The caller hears in the first sentence that they are talking to an AI assistant and that the call is transcribed. Art. 50 of the EU AI Act sets transparency obligations for AI systems that interact with people.
  2. Offer an alternative. Anyone who does not want to talk to the AI needs another route, such as a callback from a colleague.
  3. No recording without consent. Under Section 201 of the German Criminal Code, recording non-public speech without everyone's consent is an offence. Whether an automatic transcript counts as a recording is unsettled, so treat it the same: announcement first, conversation second.

  5. Retention periods. Keep the summary, delete the full transcript after a short period.
